Vendor Concepts

A vendor alias is a second name for a vendor in your database. A vendor may use an additional name to identify their items. For example, a vendor like HON may have several divisions within its company. By setting up the divisions as vendor aliases, the original vendor can be automatically linked to all its aliases. This can greatly simplify your furniture order entry process and streamline your purchasing module, thus allowing you to easily handle larger purchase orders without investing more time or people.

 

You set up vendor aliases in the Vendor Alias dialog box. Once you add a vendor alias, the original vendor account number is linked to the alias. For example, if you set up a vendor alias for HON, you may enter HS2 for HON’s Simplicity Division or HRC for HON’s Regency Series Division.

 

You use the Vendor Alias dialog box to specify the vendor alias number, description, address, and any discount percentages the manufacturer may allow you. You can specify up to five different discounts for each vendor alias. When you create orders and quotes, you can choose to automatically determine your cost. However, you can change this information during order entry.

Note: Vendor alias details can be changed in Order Entry. However, once the vendor alias has been created, the actual vendor alias name cannot be changed.

This means that when you bring an order into the system from an outside specifier, or when you enter an uncataloged item, you are automatically supplied with the discount information for any item with a match on the vendor.

 

When you create a furniture purchase order, a search is made for any matches on the vendor. All the vendor alias items you need to order are automatically placed on the P/O. This eliminates entering the vendor alias items individually.
