Order Entry Concepts

In the Order Entry window, you can quickly verify that items, quantities, costs, prices, and other variables on the pick ticket are correct, as well as change them, if needed. To select the items to change, display the entire pick ticket and mark the incorrect lines, or specify the incorrect lines by item or line number. If you have several pick tickets that are correct or nearly correct, place them into a batch to quickly verify them. You can then verify the entire batch with a few keystrokes, stopping only to make the necessary changes.

 

There are two types of verification:

Note: The Invoices Onl field in the (L1) Terminal and Ticket Parameters screen determines whether pick tickets print individually or in a batch. If you set this field to N, the pick tickets print in a batch. If you set this field to Y, the pick tickets print individually as you complete orders.

 

Initial-Verifying Status 4 Tickets

A status 4 indicates that a pick ticket has printed but has not been verified. We strongly recommend that you set the T-I-C-K-E-T-S ST field in the (L1) screen to 6 and manage your orders by exceptions only. If you set your system to end pick tickets at a status 4, items are not included in the short-buy process until the ticket is initial-verified and moved to a status 6.

 

While we do not recommend you set your system to end pick tickets, you can process initial pick tickets at a status 4 if the following is true:

It is important to check the accuracy of your backordered quantities before completing the initial verification in case the actual number of on-hand items is different from the number listed. By checking the accuracy of your quantities, you ensure that you do not backorder items you actually have in stock and that you backorder sufficient quantities.

 

Tickets can be initial-verified as many times as necessary before they are final-verified.

 

Initial-Verifying Status 6 Tickets:

We recommend you specify 6 in T-I-C-K-E-T-S ST field in the (L1) screen. Status 6 indicates that a pick ticket has been printed and initial-verified but has not gone through the short-buy process. Status 6 items that are backordered can be placed in the SHORT-BUYS file, which can then be used to create purchase orders. Tickets with items in the SHORT-BUYS file change to a status 7 after you run the Short-Buy report.

Note: To create the SHORT-BUYS file, run the Short-Buy report in the text-based (T) Order Entry Selectors screen or the (SR) Purchase Order Reports screen. For more information, see Printing the Short-Buy Report (Custom) and Printing the Short-Buy Report (Standard).

You may need to initial-verify status 6 tickets if an item has incorrect shipped or backordered quantities. The following are the most common reasons why you should initial-verify status 6 tickets:

Final Verifying Tickets

If you print pick tickets in a batch, you must execute the [B] Invoice function in the (TR) Order Entry Reports screen after you final verify them. This moves status 8 pickets to status B invoices and then prints the invoices. Shipped items on a status B pick ticket are invoiced. A/R totals and history for the customer, item, and salesperson are updated by the sale.

 

If you send partial shipments, you can final-verify the order before placing backordered items on the short-buy. After processing the invoice, the backordered items are moved to a -1 pick ticket that is at status 6. The extension of the pick ticket is increased each time the backorders are invoiced. For example, suppose you create order number 5000-0 and two line items are backordered when you final-verify it. A new pick ticket with order number 5000-1 is created, and the two backordered items are placed on it. If you then final-verify pick ticket 5000-1, and one of the items is still backordered, pick ticket 5000-2 is created, and the remaining backordered item moves to it.

Note: If you final-verify a pick ticket with all items backordered, it does not move to a higher status, nor is a new pick ticket with a -1 extension created. Until some of the items move to the shipped column, verification does not change the status of the pick ticket.

When the -1 pick ticket is at status 6, it can be placed on the short-buy. If you do not send partial shipments, final-verify the order when all items are available.

 

Once an order is invoiced (moved to a status B), you cannot final-verify it again. However, if your terminal is set for batch printing, final verification moves the pick ticket to status 8. Tickets at status 8 may be re-verified.

Note: When verifying prepay orders, you can change the order so the order total is affected as long as no amount has been prepaid on the order.
